Marketing Communications and Your Choices
Go Epic Tours may send newsletters and promotional communications to keep you informed about our tours and special offers, but we respect your decisions regarding such messages. This section explains how we handle marketing communications and how you can manage your preferences:

Subscription and Consent: We do not automatically subscribe anyone to our marketing emails without consent. You might opt in to our mailing list by entering your email into a signup form on our website, by checking a box to receive updates when requesting information, or by explicitly asking one of our agents to be added to the newsletter. In some cases, if you make an inquiry or booking, we may ask if you’d like to receive future updates – but it’s up to you to agree. We follow Canadian Anti-Spam Law (CASL) which means we either obtain express consent or rely on an implied consent (e.g., you recently did business with us) within its allowed time frame to send you marketing emails. We primarily use Wix’s email marketing tools to manage our subscriber list and send emails, ensuring there’s an unsubscribe mechanism in every message.

Types of Communications: If you join our mailing list, you can expect to receive occasional emails such as: announcements of new tour packages or destinations, limited-time promotional offers or discounts, travel tips and articles about Turkey, Greece, or the Mediterranean region, newsletters with company updates or stories from recent tours, and possibly holiday greetings or event invitations. We aim to provide content that is relevant and valuable to our audience. Typically, we send emails a few times a month at most – we try not to overwhelm your inbox. If at any point you feel you are receiving too many communications, please let us know or simply unsubscribe, and we will adjust accordingly.

Opting Out / Unsubscribing: Every marketing email we send will include a clear “Unsubscribe” link (usually at the bottom of the email). By clicking that link, you can automatically remove yourself from our mailing list. Alternatively, you can reply to any of our emails with a request to unsubscribe, or contact us directly (via email or phone) and ask to be taken off promotional communications. We will process opt-out requests as quickly as possible. Once you opt out, we will stop sending you marketing emails. Please note that unsubscribing from one type of email (for example, newsletters) will generally remove you from all promotional emails we send, unless you specify otherwise. If you ever change your mind, you’re welcome to re-subscribe at any time by letting us know or signing up again on our website.

Postal Mail or Phone Marketing: Currently, Go Epic Tours does not have a practice of sending marketing via traditional mail or making telemarketing calls. We primarily use email and digital ads for marketing. If this ever changes (for example, if we decide to mail out a brochure or make a courtesy call about a special offer), we would only do so with appropriate consent or within the bounds of an existing business relationship as allowed by law. In any case, we would provide a way to opt out of those forms of communication as well.

Third-Party Marketing: We do not share or sell our customer email list to other companies for their marketing. That means you will not receive marketing communications from companies outside of Go Epic Tours as a result of trusting us with your email. The only exception would be if we organized a co-branded event or joint promotion with a partner and you explicitly signed up for that; even then, we would clarify who is sending the communication. Your personal information for marketing stays strictly with us (and our email service provider acting on our behalf).

Transactional and Service Emails: Opting out of marketing emails will not stop all communication from us. We will still send you transactional and service-related messages when you are engaged in a booking or inquiry. These include emails like booking confirmations, invoices, receipts, itineraries, travel updates, and responses to your questions. We consider these essential for delivering our services to you, and they are not promotional in nature. For example, even if you unsubscribe from the newsletter, if you have an upcoming trip you will still receive necessary information about that trip. We differentiate clearly between marketing vs. service communications. Should you decide that you want absolutely no communication from us, please be aware that we could not provide services in that case (as we wouldn’t be able to coordinate your travel).

Re-subscription and Preferences: If you have multiple email addresses or have interacted with us in different ways, it’s possible you could be on our list more than once. We try to avoid duplicates, but if you find you’re getting duplicate emails or messages to multiple addresses, let us know and we’ll clean that up. Also, if you only want to receive certain types of emails (for example, you want to get announcements about Turkey tours but not general newsletters), we currently manage one main list but are happy to discuss customizing what we send you. You can always email us with your preferences and we’ll do our best to accommodate (e.g., manual segmenting of our list). Our goal is to ensure you only receive communications that you find helpful.
In summary, you have full control over your marketing preferences with Go Epic Tours. We will honor your choices promptly and without hassle. Your decision to opt out will not affect any service we are providing to you (aside from not informing you of new offers). Children’s Privacy (Information of Minors)
Protecting the privacy of minors is very important to us. Our services are designed for adults (and families) planning travel, and we do not direct any marketing or content specifically to children under the age of 18. We also do not knowingly collect personal information from anyone under 18 without parental consent.

No Direct Collection from Children: We ask that individuals under 18 years of age do not provide personal information to Go Epic Tours directly. For example, minors should not fill out our contact forms, sign up for newsletters, or contact us without involvement of a parent or guardian. If you are under 18 and interested in our tours, please have a parent or legal guardian reach out on your behalf.

Minors in Family Bookings: It is common that children (under 18) participate in our tours as part of a family vacation or school group. In these cases, any personal information about the minor (such as name, age, or passport details if needed) must be provided to us by the adult making the booking. We assume that the adult (parent or guardian) giving us the child’s information is authorized to do so and to consent on the child’s behalf to the use of their information in accordance with this Privacy Policy. We will use minors’ information solely for the purposes of arranging and delivering the agreed travel services (for instance, to book a child’s place on a tour, obtain any necessary child-rate tickets, ensure appropriate accommodations like a crib or extra bed, etc.). We do not use this information for any other purpose and do not contact minors separately from the adults.

No Marketing to Minors: We do not knowingly send promotional communications to minors. Our mailing list procedures require a subscriber to be of an age to consent (generally 18 or older). If we discover that an email address or contact belongs to an individual under 18, we will remove it from any marketing distribution. Additionally, our advertisements on third-party platforms are not targeted based on age in a way that would deliberately reach children under 18. For example, when using Facebook’s advertising tools, we align our audience targeting with appropriate age ranges (typically 18+). We want our travel content to reach parents and adult travelers, not unaccompanied minors.

Parental Rights: If you are a parent or guardian and you believe we may have inadvertently collected your child’s personal information, please contact us immediately. We will promptly investigate and, if applicable, delete that information from our records. Parents/guardians have the right to request to review any personal data we hold about their minor children and to request its deletion or correction (subject to necessary data retention for booked services). We may ask for verification to ensure you are indeed the parent or guardian before releasing or modifying any information.

Exceptions: In the unlikely event that a minor (someone under 18) independently communicates with us or provides personal data (for example, a 17-year-old emails a question about a tour), we will use that information only to respond directly to that child and inform them that we require parental involvement. We will not keep the information beyond addressing the inquiry, unless a parent or guardian consents. Similarly, if a minor posts on our social media pages or engages online, we might interact to the extent appropriate (e.g., answer a general question), but we won’t solicit personal details and we’ll encourage them to involve an adult.
Our overall approach is to treat any information about minors with the highest degree of confidentiality and care. We encourage parents and guardians to be actively involved in their children’s online activities and interests, especially when it involves providing personal information or planning travel. Data Retention
We retain personal information for only as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws and regulations. This means the duration we keep your data can vary depending on the context and type of information. Here’s how we approach retention in different scenarios:

Inquiries (No Booking): If you contact us to ask questions about our tours or request a quote, but you do not end up making a reservation, we may retain your contact information and correspondence for a period in case you decide to proceed later or have follow-up questions. For example, if you inquire about a tour and we send details, we might keep your email on file for a year or two. This is both for customer service (so we remember prior interactions if you reach out again) and for our own business analysis (to understand interest levels). However, we won’t keep inquiry data indefinitely if it’s clear there’s no ongoing interest; we periodically review and delete old inquiry records that are no longer needed. If you prefer we not keep your information after answering your inquiry, you can let us know and we will delete it sooner.

Bookings (Customers): If you book a tour with us, we will retain your personal information for as long as is necessary to manage your trip and provide after-sales support. This includes keeping your data through the completion of your tour and for a reasonable time afterward. There are a few reasons for this:

Future Travel and Reference: Many of our customers travel with us again or refer friends. Keeping your past booking information (such as which tours you took, any special preferences or issues) helps us provide personalized service if you return. It saves you from having to repeat information and helps us maintain continuity.

Post-Trip Support: After your tour, you might have follow-up needs (like obtaining a receipt, making an insurance claim, or giving feedback). Retaining your data allows us to assist with these.

Legal and Accounting: We are required by Canadian law and good business practice to retain certain records for set periods. For instance, financial and transaction records (invoices, payment receipts) must be kept for a number of years for tax and accounting audits. Similarly, if any waivers or consent forms were signed (e.g., a liability waiver for adventure activities), we retain those as proof of consent and for legal protection.

Dispute Resolution: In the unlikely case of a dispute or claim (e.g., a billing dispute or a complaint about services), we retain relevant information until it is resolved, and possibly for a set time after, in case of any follow-up actions.
Typically, customer booking records are kept for at least seven (7) years after your tour concludes, which aligns with common tax record-keeping requirements in Canada. However, this can vary: if law mandates a longer period, we abide by that; if not required and we deem it no longer necessary, we may delete or anonymize data sooner. We store this information securely and limit access to it.

Marketing Data: If you have subscribed to our marketing emails, we will keep your contact information on our mailing list until you unsubscribe or inform us that you no longer wish to receive our communications. We regularly cleanse our list to remove email addresses that bounce or appear inactive over a long time. If you unsubscribe, we will promptly remove you from the active mailing list. (We may however keep your email on a suppression list indefinitely to ensure we honor your opt-out and don’t accidentally re-add you. This suppression list is simply a record of opted-out addresses, used solely to block future mailings.)

Job Applications or Agent Inquiries: While not directly related to customers, if someone submits personal information to inquire about employment or agency partnerships with us, we usually retain those records for a certain period (for example, keeping a CV on file for a year in case a position opens). This is a limited use case, but we mention it for completeness. Such information isn’t used for marketing and is kept separately.

Web Analytics Data: Data collected through Google Analytics and similar tools is retained per the settings in those tools (often 26 months or as configured). This data is aggregated and doesn’t identify individuals directly. We use it for trend analysis over time. Typically, Google Analytics allows us to retain user-level data (associated with cookies) for a set period, after which it is deleted automatically. We have configured those settings in line with our needs, but no user-level data is kept perpetually.

Deletion and Anonymization: When personal information is no longer needed, we take steps to remove it. Physical records (like any paper forms) are shredded or securely disposed. Electronic records are deleted from our active systems. We may retain backup copies for a short period (backup archives are usually overwritten on a rolling basis) – but those remain protected and eventually get purged too. In some cases, rather than complete deletion, we may anonymize data so it can no longer be linked to you. For example, we might keep aggregated statistical information such as “number of travelers in 2025” or “total sales by region” which are derived from personal data but contain no identifying details. This kind of anonymized data helps us with business planning but poses no risk to your privacy since it can’t be traced back to you.
In summary, our retention approach balances utility (keeping information as long as it’s useful for you or required for us) and minimization (not keeping it longer than necessary). You have the right to request deletion of your personal information, and we will accommodate such requests to the extent we can (see Your Rights below). Please note that if you request deletion of certain data that we are required to keep (for legal compliance or legitimate business purposes), we may have to retain that specific information despite the request, but we will inform you if that’s the case and isolate the data from active use.

For example, if you have never actually booked and you want us to erase your inquiry details, or if it’s been many years since you traveled with us and you want your old records removed, you can ask us. We will do our best to erase the information from our active systems and backups (to the extent feasible). Keep in mind, there are exceptions: we might need to keep certain info for legal reasons (like financial records) or legitimate business purposes (like proof of consent if there was a dispute). In such cases, we will isolate that data and not use it for any other purpose, and we’ll let you know why we can’t delete certain pieces. We’ll be transparent about what we can and cannot delete.

Verification might involve answering a security question, confirming details we have on file, or providing ID in rare cases.
We will do our utmost to honor your requests and will communicate with you openly throughout the process. If for any reason we cannot fulfill a request (either in full or partially), we will give you a detailed explanation. Updates to this Privacy Policy
We may update or revise this Privacy Policy from time to time to reflect changes in our practices, to stay compliant with legal requirements, or to improve clarity. We monitor this email regularly and strive to reply within a few business days at most (often sooner). For requests to exercise your rights (access, correction, etc.), we may need a little more time to gather information, but we will acknowledge your request and keep you updated on the timeline.

Depending on the nature of your inquiry, we might still ask you to send an email or written request (especially for formal requests like access to data, so we have it documented), but we’re happy to discuss and guide you over the phone. Our phone line is open during normal business hours (Mountain Time, as we are based in Alberta, Canada). If calling outside of hours, you can leave a voicemail and we’ll return your call.
